Office Receptionist/Administrator
- The office receptionist/administrator will manage multiple programs simultaneously, demonstrating flexibility, strong prioritization abilities, excellent written and verbal communication, and exceptional interpersonal skills.
- The candidate will be comfortable working with multiple levels of personnel, from designers to corporate executives.
- Be an excellent problem-solver, detail-oriented, and exhibits a drive for continuous improvement, focused on people and working with internal “customers” and external “vendors”.
WHAT YOU WILL DO
Front Desk Receptionist
- Checking in guests and maintaining all security requirements for facility visitors
- Receives all deliveries via UPS, FedEx, DHL, Amazon and other carriers
- Receives vehicle deliveries by accepting keys and bill of lading
- Deliver keys to carrier for vehicles departing from facility
- Notify staff of deliveries
HATCI Operations Administrator
- Processes CR’s for utilities, copiers, shipping, Amazon, travel and processing other company billing
- Processes RFQ’s and PO’s
- Assist company Travel Agent with travel requests Domestic and INTL
- Follow up with team members to ensure their travel request is set up properly
- Process all travel requests in ESS
- Management of Lease Vehicle for staff members
- Understanding the car lease system to assist with staff needs
- Follow all policy and procedures outlined by the company for Lease Vehicles
- Book conference rooms for meetings and Ride & Drives
- Obtain and distribute mail accordingly
Supports overall department initiatives, ensuring accuracy and acting on a timely basis.
- Assist department leadership with ad-hoc requests related to facilities and operations.
- Track overall department operating budget
- Receiving cross-training in multiple aspects of HATCI office administration
- Supports overall Corporate Vehicle Lease program
- Prepares new employee workspaces by working with team leaders to determine seating locations and providing general office supplies needed
Coordinating and supporting corporate functions throughout the year

- Year End Event – Company wide
Maintains key facility needs
- Obtaining quotes and purchase of Coffee/Breakroom offerings, office supplies, etc.
- Ordering supplies as necessary and maintaining an accurate inventory
- Maintaining kitchen and break areas stock and trouble-shooting team member concerns
- Maintaining kitchen cleanliness not covered by cleaning staff (refrigerator, small appliances, etc.)
HOW WILL YOU MAKE AN IMPACT
- Proficient in MS Office applications (Word, Excel, PowerPoint, Outlook)
- Prior SAP experience a plus
- General project management experience

Hold a valid driver’s license and maintain a satisfactory driving record
WHAT YOU WILL BRING TO THE ROLE
- High School Diploma
- 2 years administrative work and/or negotiating with outside suppliers
