WORK MODEL
WHAT YOU WILL DO
Manage all aspects of administrative planning and implementation for the Chief of Staff. Coordinate the daily affairs and travel to meet the requirements of HMC, affiliates, and other outside sources.
HOW YOU WILL MAKE AN IMPACT
- Coordinate calendar, travel, meetings, conference calls, written communications, dealer mailings, and other project-oriented roles for the Executive Office.
- Screen all phone calls and respond to inquiries in a timely and professional manner. Forward important meeting requests and proposals and/or appropriate department head for review and action.
- Support the Chief of Staff as a liaison with HMC and Korean coordinators, HMC Washington DC office, Vice Presidents, department managers, regional offices, affiliates and outside sources.
- Organize and schedule the weekly and monthly meetings: Executive Committee Meeting, HATCI monthly product review, bi-weekly staff meetings with direct reports, and weekly meetings with Korean coordinators and Vice Presidents.
- Manage correspondence and incoming mail. Create letters and memos for signature as required (with a high level of confidentiality and judgment). Refer customer letters to Customer Connect, Legal and/or department heads for action as directed by the President.
- Ensure all documents are reviewed, approved, and distributed expeditiously (i.e., Purchasing contracts, Sales Incentives, PR’s, Legal/HR documents, and Travel Requests).
- Work closely with Hyundai’s travel department (Adelman) to create travel itineraries that are efficient and cost-effective. Submit Travel Requests and Expense Reports on a timely basis.
- Prepare and monitor the annual budget for the meeting and travel expenses submitted to the Finance Department.
- Effectively contribute to Hyundai’s high level of sales and customer satisfaction goals by supporting the Hyundai Circle Program and Customer Connect team. Strive to ensure all customer inquiries and referrals to the Executive Office are handled with special care and attention.
WHAT YOU WILL BRING TO THE ROLE
- Bachelor’s degree preferred
- Two to four years of executive assistant experience (preferably in the automotive field).
- A professional and positive approach to work.
- Strong verbal and written communication skills.
- Learn and retain new concepts and technology quickly.
- Exceptional organizational, problem-solving, and communication skills.
- Follows through on all assignments independently with the ability to meet deadlines with minimal supervision.
- Able to work amicably in a team environment.
- Ability to work independently and efficiently with minimum supervision.
- Ability to multi-task, be proactive and have great attention to detail.
- Ability and discretion to work with extremely confidential information.
- Ability to work in a fast-paced environment with all levels of staff and management.
- Proficiency with Microsoft Word, Excel and PowerPoint.
