WHAT YOU WILL DO

  • Manage all aspects of administrative tasks including planning and implementation projects for the Division.
  • Coordinate the daily affairs for the Division Head to meet the diverse requirements of HMC, HMA Regions, and direct reports under Division Head’s supervision. Coordinate the Division Head’s calendar, travel, meetings, conference calls, written communications, correspondence, and other project-oriented roles.
  • Provide support and back-up to other administrative assistants in the Division. 
  • Work independently, innovatively, and efficiently in a fast-paced environment, handling multiple responsibilities and meeting multiple deadlines.
  • Maintain helpful, willing, and responsive attitude with all interactions.

HOW YOU WILL MAKE AN IMPACT

  • Provide administrative support, front-line customer service, and coordinate divisional programs, projects, and follow-ups.
  • Assist division head and staff with expense reports and travel arrangements through HMA’s corporate travel agency.
  • Monitor division budget spending, assist with accruals, and maintain budget schedules.
  • Coordinate goal-setting and year-end evaluations with division leadership.
  • Maintain Outlook contact and email groups; review files and materials for accuracy and consistency.
  • Prepare reports, presentations, and other management-requested materials.
  • Coordinate meetings with internal stakeholders, clients, and vendors.
  • Research and analyze division-related information as needed.
  • Maintain division-specific systems and software.
  • Provide administrative support to managers and employees.
  • Serve as Department Ambassador for employee transfers and hiring processes.
  • Manage support desk, supply area, and office administration functions.
  • Handle confidential internal and external correspondence.
  • Support financial and records management activities, including JD Edwards, filing, reporting, editing, meeting coordination, and telephone screening.
  • Act as the division’s primary Executive Assistant, organizing and coordinating daily operations and projects for timely completion. Decisions are based on knowledge and understanding needed to bring projects to closure in a professional and timely manner.
  • Perform day-to-day administrative tasks and analyses in alignment with established processes under general direction.
  • Decision-making authority doesn't extend to matters of significance related to management
  • Complete additional duties and special projects as assigned by the division head.

WHAT YOU WILL BRING TO THE ROLE

  • Must be a high school graduate
  • Bachelor’s degree preferred
  • Two or more years of administrative work experience, preferably working at higher management levels. 
  • Proficient in the use of Microsoft Word/Excel/PowerPoint, Outlook, Autoway, AS400.
  • Excellent oral and written communication skills.
  • Organized and detail oriented.
  • Ability to work with a variety of personalities.
